About the position

Canada’s Extended Producer Responsibility (EPR) system operates at a provincial level, with regulations and program requirements varying across jurisdictions. Successfully managing these distinctions while aligning with national objectives is key to program success.

We are seeking a highly motivated and organized Program Coordinator to join our Programs team! The Program Coordinator plays a crucial role in developing, enhancing, and managing the execution of one or more collection and recycling programs. This role ensures collaboration across all departments, aligning internal processes with the specific regulatory and operational requirements of each jurisdiction. The Program Coordinator is accountable for ensuring program objectives are met or exceeded, tracking performance metrics, and driving continuous improvement. Reporting to the Sr. Program Manager, this role works closely with internal teams and external stakeholders to ensure smooth program delivery and alignment with both provincial mandates and organizational goals.

Responsibilities:

Program support and coordination

  • Assist, coordinate and lead program management activities to ensure compliance with regulations and performance metrics, adherence to timelines, and ongoing improvement.
  • Establish yourself as the subject matter expert (e.g., regulatory guidelines, product-related details, etc.) and primary point of contact for all aspects across programs.
  • Manage assigned programs with a commitment to accountability, while also being prepared to assist with tasks across various programs and departments, contributing to the broader team’s success.

Program administration

  • Support the Programs department in maintaining program accountability and performance.
  • Maintain ownership and accountability for assigned programs, while also providing support to the Programs department.
  • Lead, plan, organize and manage program(s) with a focus on continuous improvement.
  • Develop program and project charters and workplans
  • Support the coordination and operation of program collection sites.
  • Prepare program reports and other documentation for internal and regulatory reporting, including analyzing program performance data.
  • Ensure compliance of programs, with regulatory and program plan commitments.
  • Ensure timely and accurate annual reporting.
  • Coordinate with various departments to lead and deliver commitments and deliverables.
  • Facilitate member inquiries and product classification.
  • Conduct product research; develop and maintain a tracking system for product classification.
  • Support the development of program communication within various programs including product guides, member notices and other communication as required.
  • Draft new program plans and program plan renewals.
  • Develop and maintain policies and guidelines to support members.
  • Correspondence with regulators as required.
  • Provide content and information to the communication department for the creation of support materials for the programs, such as included and excluded products for the program. Ensure that communication materials follow specific program and jurisdictional requirements.
  • Respond to stakeholders (consumers, collection sites etc.) inquires in a timely fashion.
  • Oversee any program-related projects and conduct analysis as required.
  • Support program development, including member outreach, recruitment and expanding collection networks when required.
  • Support and provide training resources to collection sites and members.
  • Engage in research and data collection and analysis supporting the program’s team.
  • Ensure field coordinators’ tasks are aligned with and are completed based on program requirements.
  • Additional projects and tasks as required

Stakeholder relations

  • Prepare presentations with partners, and attend trade shows and conferences, as required.
  • Organize promotional events to promote programs.

What you bring

The ideal candidate will possess the following skills, experience, and qualifications:

  • Post-secondary education in business, regulatory affairs, economics, environmental studies, or equivalent experience.
  • Minimum of 3+ years of experience working in Program/Project Management within a fast-paced and highly regulated environment.
  • Strong project management skills, including data tracking, communication, and follow-up.
  • Strong communication both written and oral, and ability to facilitate discussions and foster collaboration.
  • Able to thrive in a fast-paced constantly evolving environment with a complex changing regulatory landscape.
  • Highly organized and detail oriented to keep track of and manage multiple programs.
  • Understanding of program administration, coordination and management.
  • An aptitude for research and data interpretation.
  • Analytical thinking with very good problem-solving and troubleshooting skills.
  • Well-coordinated project management skills.
  • Critical thinking, takes initiative, strong work ethic, can execute, and gets things done.
  • Proficient in MS Office Suite, including Access, with a working knowledge of databases.
  • Demonstrates the ability to adapt to multiple demands, frequent changes, and shifts in scope and objectives with agility and resilience.
  • Understanding of EPR and Recycling industry will be an asset.

Salary: $50,000 – $65,000 per annum (Actual salary offered will be commensurate with education, experience and internal parity).
